Privacy policy
Transkribe records conversations and turns them into transcripts and notes. That means you trust us with sensitive material, so this page explains plainly what we collect, what we do with it, who helps us process it, and how you delete it.
What we collect
- Account details: your name, email address and password. Passwords are stored only as a secure hash. If you try the app before signing up, we create a trial account with no name or email; it's deleted, with its recordings, after 30 days without use unless you create an account.
- If you sign in with Apple, Google, Facebook or TikTok: that service tells us your account id with it and, if it shares them, your name and email address (Apple may give a private relay address; TikTok shares no email). We don't get your password or access to anything else in that account, and we don't post anything. Deleting your Transkribe account removes the link, and for Sign in with Apple we also ask Apple to revoke it.
- Recordings and files: audio you record in the app, and audio or video files you upload.
- What we create from them: transcripts (with speaker labels and timestamps), summaries, key points, decisions, action items and translations.
- Things you type: recording titles, speaker names you add, your custom vocabulary (names and terms you want transcribed correctly), and questions you ask with Ask AI.
- Plan and usage: your plan, and how many transcription minutes you've used this month, so we can apply the free-plan limit.
- Notification token: if you allow notifications, a token that lets us tell your phone when a recording's notes are ready, plus your app language so the message matches it. Signing out or deleting your account removes it.
We do not use advertising, analytics or crash-reporting tools, and we don't collect your location, contacts or calendar.
To keep the service running well, our servers keep two kinds of records that don't identify you: anonymous daily totals (for example, how many recordings were made and how many minutes were transcribed each day), and a log of each request to our servers with the part of the service used, the result, how long it took, and the app version and phone platform. Neither includes your name, email, account, IP address or anything you recorded or typed. Request logs are deleted after 30 days.
What stays on your phone
- Your sign-in token, kept in the phone's secure storage.
- Your app settings (such as language and meeting type).
- A recording that hasn't finished uploading. It stays on your phone until the upload succeeds, then it's deleted from the phone.
How we use your data
Only to run the service you asked for: to transcribe your recordings, write and translate your notes, answer your Ask AI questions, keep your account working, and apply plan limits. We don't sell your data, and we don't use it for advertising.
Who processes it for us
We use a small number of service providers that process data only to provide Transkribe:
| Provider | What they do | What they receive |
|---|---|---|
| Microsoft Azure (Blob Storage) | Stores your audio files (United States) | Recordings and uploaded files |
| Deepgram | Speech-to-text transcription | A temporary link to your audio, and your custom vocabulary |
| Anthropic (Claude) | Summaries, translations and Ask AI answers | Transcript text, notes, and your questions |
| Expo (with Apple and Google) | Delivers "your notes are ready" notifications, and app updates | Your notification token and the notification text, which includes the recording's title. To check for app updates: the app's version, your phone's platform (iOS or Android) and a random id for this installation, which isn't linked to your account. |
| Microsoft Azure | Runs our servers and database (United States) | Account details, transcripts and notes |
These providers may be located outside your country, including in the United States. They may keep data briefly for security and abuse monitoring, as their own terms allow.
Your recordings are not used to train AI
We opt out of Deepgram's model-improvement program on every transcription request. Anthropic's commercial terms for its API don't permit using our requests to train its models. We don't train models on your recordings either.
How long we keep it, and how to delete it
We keep your recordings and notes until you delete them.
- Delete a recording: open it and tap Delete recording. The audio, transcript, notes and translations are removed.
- Delete your account: Settings → Delete account removes your account and all of its recordings and notes. You can also request deletion without the app.
Our database is backed up automatically. Deleted data may remain in these encrypted backups for up to 7 days before it's overwritten. Audio is not in these backups: it's stored separately and deleted immediately.
Security
Data is encrypted in transit (HTTPS) and at rest. Audio is stored in a private storage bucket and is only ever shared with our transcription provider through short-lived links. Access to your data requires your sign-in.
Recording other people
Recording laws differ by place. You're responsible for telling people you're recording them and getting any consent the law requires.
Your rights
Depending on where you live, you may have the right to access, correct, export or delete your personal data, and to object to or restrict how we use it. You can delete everything yourself in the app. For anything else, email hi@transkribe.com and we'll respond within 30 days. You can also complain to your local data-protection authority.
Children
Transkribe isn't intended for children under 13 (or under 16 in the EU/UK), and we don't knowingly collect their data. If you believe a child has created an account, contact us and we'll delete it.
Changes to this policy
If we change how we handle data, we'll update this page and its effective date. If a change is significant, we'll tell you in the app before it takes effect.
