Getting started
What does Transkribe do?
It records a conversation (or takes a recording you already have) and writes the transcript, with who said what and when. Then it writes the notes: a short overview, an outline you can jump around in, the key points, the decisions and the action items with who owns them. You can translate the notes, ask questions about a meeting, and share or export it.
Do I need an account?
Not to try it. Get started opens a trial with a few free minutes. To keep your notes, create a free account from Settings: everything you recorded on the trial comes with you. Trial notes are deleted after 30 days without use.
Where can I use it?
In the Transkribe app on your phone, and in a browser at www.transkribe.com/app. Sign in with the same account and your meetings are in both.
Recording
How do I record?
Tap the red Record button in the middle of the bottom bar. Recording starts at once. Tap Stop when you're done: the meeting opens, and the transcript and notes are usually ready in a minute or two. The first time, Transkribe asks for the microphone.
How do I change the language or the meeting type?
While recording, tap the chip under the timer (for example English · General). You can set the spoken language, the meeting type (which shapes the notes) and the language the notes are written in. Your defaults are in Settings → Recording.
What does "Mark moment" do?
Tap it when something important is said. Once the transcript is ready, that moment shows up under Highlights in the meeting's notes, with its time. Marks are kept on the phone you recorded with until then.
Can I look at something else while recording?
Yes, inside Transkribe. Tap the arrow at the top left to tuck the recording screen away: recording carries on, and the Record button shows the time. Tap it to come back.
The recording paused by itself
A phone call, Siri or another app can take the microphone. When that happens, Transkribe pauses and says so. Tap Resume to carry on, or Stop to keep what was recorded.
The app closed while I was recording
On iPhone, the next time you open Transkribe it offers to transcribe what was recorded up to that point. On other devices it tells you the recording was interrupted.
It says "Not uploaded yet"
The audio is saved on your phone and Transkribe tries again when you're back online. You can also tap Retry on the Home screen. Nothing is lost while it waits.
Do I need permission to record people?
Recording laws vary by country and state. Tell everyone you're recording, and get any consent that's required where you and they are. You're responsible for how you use recordings.
Uploading files
Which files can I upload?
Audio (MP3, M4A, WAV, AAC, OGG) and video (MP4, MOV, WEBM, AVI). Use the upload button on the Home screen, or Upload a file in the web app.
How big can a file be?
Up to 100 MB on a free account, and 30 MB while you're trying Transkribe without one. The upload also counts against your free minutes for the month.
Your notes
How do I name the speakers?
Open the meeting's Transcript tab and tap a speaker's name. Rename them once and every line from that speaker changes, and the notes follow.
A word is wrong in the transcript
Press and hold the line to correct it (you can also change the speaker or mark it as a highlight). If you add a name or term Transkribe didn't know, it offers to add it to your custom vocabulary so new recordings spell it right. The vocabulary is in Settings → Recording.
After corrections, the meeting may offer to rewrite the notes from the corrected transcript.
Can I get the notes in another language?
Yes. In a meeting, tap Translate… and pick a language. Transcripts work in nearly 60 languages, including conversations that switch between them.
How does Ask work?
Ask on a meeting's player bar answers questions about that meeting. The Ask tab answers across all your meetings. Answers come from your notes and transcripts and show where they came from: tap a time to jump to it.
Where are my action items?
In each meeting's Actions tab, where you can tick them off. The open ones from every meeting are also on the Home screen.
Sharing and exporting
How do I share a meeting?
- Share link: a read-only page anyone with the link can open in a browser, no account needed. You choose whether the transcript is included, and you can turn the link off at any time.
- Share with people: invite someone by email. They read the meeting in their own Transkribe account (it has to use that email address), and can't change it.
- Follow-up email: a draft from the notes, to edit and send from your mail app.
How do I export?
Open the meeting, tap ⋯ then Export: PDF, Word, Markdown, captions (SRT) for video, or the original audio.
Connected apps
Can Transkribe send notes to my other tools?
See Settings → Connected apps: it lists the services you can connect today. There you can also connect your own AI assistant (read-only access to your meetings), and make API keys and webhooks for your own scripts and tools like Zapier. The developer page explains the API.
Account and limits
How many minutes do I get?
Every account gets free minutes each month; Settings shows how many you've used. When they run out, Transkribe tells you before you record, and they come back at the start of the next month. Meetings you already have stay available.
How do I turn on two-factor sign-in?
Settings → Privacy & security → Two-factor sign-in. You'll need an authenticator app, such as Google Authenticator, 1Password or your iPhone's Passwords app.
Privacy and your data
Who can see my recordings?
Only you, unless you share a meeting (a link, particular people, or your team). Recordings are encrypted in transit and at rest, and they're never used to train AI models. The privacy policy has the details.
Can old recordings be deleted automatically?
Yes: Settings → Privacy & security → Auto-delete. Choose a period (30, 90 or 180 days, or a year) and whether to delete just the audio (the transcript and notes stay) or whole recordings.
How do I get a copy of my data?
Settings → Privacy & security → Export my data gives you a file with your account, meetings, transcripts and notes.
How do I delete a recording or my account?
A recording: open it, tap ⋯ then Delete recording. It's removed with its audio, transcript and notes.
Your account: Settings → Delete account, or follow these steps.
Still stuck?
